Our TEE Experience; The good and the bad...

Yesterday, 26 July 08 was our last day at The E-Biz Exhibition, the first online biz exhibition ever organised.

We were very excited since this was also the first time we decided to go public. Our objectives were:
1. Create more public awareness and gain exposure
2. Opportunity to meet our current customers
3. Clearance sales for the 115 items on hand

So with that, we marched into the event at SMU.

The Good
- the organiser put in much effort in the pre-event publicity both online and on newspapers
- the rental charges were very reasonable
- the location of the event in central was well chosen
- the event gained much support from various entities
- by participating in the event The Dream Fashion were selected to partner with nEbO for other arrangement
- we made a few friends with the other vendors and some great agreements to collaborate have been achieved
- we did met some of our customers! it's so nice to see ya! :)
- we gained some attentions from visitors who could be our future customers... hopefully

However, the Bad
1. With such a great pre-event publicity, the organiser did not manage to follow up with proper arrangement to draw passing crowds. The first day's crowd was terrible. Normally such event will have DJ's announcing the event every now and then, blasting musics to attract the crowd. But no such thing was done on the first day, people that walked pass, didn't even realise there was an event. Also, volunteers putting their belongings and packing goodie bags very untidily near to our row of stalls, drawing frowns from vendors and passing customers

2. Improvement was made on the second day, musics were blasting and much attention was drawn. But, at the same time, another event Young Entrepreneur was held at the same location. Students from secondary schools were going all out doing hard sales, making noises, blocking paths and blocking our stalls. Banners and tent of the Young Entrepreneur were set up blocking one of the main entrance to The E-Biz Exhibition. Customers were basically avoiding the hard sales and blockages that many vendors, including us, were just ignored.

3. When a few of the vendors decided to give feedback to the Young Entrepreneur's organiser, the organiser were just smiling away doing nothing. The same feedback was given to TEE organiser and was told that TEE has no jurisdiction over the students. One vendor was angry and commented: "These students are here for fun and school project. But they are affecting us, who are here for our livelihood." We fully agreed on this, we were very disappointed with the way TEE organiser managed the situation. We were practically just sitting there helpless looking at our customers being driven away by the playful students.

4. Organiser was new to this and first time arranging such event. Coordination was poor, information flow was terrible. Most of the time the vendors were left to figure things out on their own. Internet access issue were not address until that day itself, setting up of stalls were delayed although vendors were told to come early and other examples.

5. During the registration to participate in this event, we have indicated and paid that we want to have 1/2 page advertisement in the guide book distributed on that day. No emails to instruct us what to do, no emails to confirm our participation, we were not even given the guide book for verification. Until we happened to come across the guide book then we realised our ad was not inside. When we asked organiser how did this happened? We only received apology and refund of our ad money. We could have paid for nothing if we hadn't found out. This also means, our shop was not advertised to public.

6. We also signed up to participate in the Free $20 voucher for walk-in-TEE customers. Similarly, we were not informed on the confirmation of this participation. We did not know anything until the second day when one of TEE volunteer came asking for $2 discount and realised our name was not in the list. i.e. again, our shop was not advertised. So what was the point of us volunteering and paying to participate in all the activities yet no attention was given to ensure our participation?

7. The Dream Fashion was supposed to meet nEbO during the event, but it was not arranged. We kept asking but organiser simply replied nEbO was busy, they will contact you later. The lady who told us that, did not even make a check before making the statement 'Oh, nEbO is busy now', how would she know?? For both days we reminded her, and both days we were told the same. We were not even given the contact of the nEbO representative so we could arrange the meet up ourselves. This lady being a middle person, was very disappointing and unprofessional. Based on the two experiences (point 5 & 6) above, we are now seriously wondering if this meeting with nEbO was even arranged and told to nEbO.

8. There was also a serious problem with the efficiency of the organiser. On the last day, the organiser would be checking each stall to make sure all issued items were intact before given back the deposit. There were 40 stalls altogether and many were packing at the same time. But there was only ONE list and ONE organiser running around trying to clear the stalls. Resulting in delays and long waiting time for the packing vendors. I am sure it would not hurt to have more copies of the list and more people to clear. While this one person running around to clear, the other organisers and volunteers were having their mini party with the music player. How efficient...

CONCLUSION
- this event was a flop as far as The Dream Fashion is concerned
- we used 2 full days selling only 17 pieces during the event
- we failed majority of our customers because we did not add new arrivals and delay in email replies due to preparation for this event
- we did not gain the publicity as promised
- we have wasted much in return of minimal gain

So... we've decided NOT to participate in any more such event unless we are sure of a better return. If given opportunity, we rather organise private function with our members to showcase our items.
